Consultant assignment: Instrument Project Planner

Purpose Statement:                                            

The instrument planner for projects WO details the scope of work for each instrument work order as well as prepare the work packages that till be part of the bidding process and contractual scope of work with contractors. It is important to thoroughly investigate site characteristics and detail all necessary activities e.g. insulation and scaffolding requirements.

KEY ACCOUNTABILITIES:

1            Preparation ( Planning lead )

·       Ensure the planning and preparation activities within instrument disciplines are following the schedule and the complete package of work orders is delivered to the procurement team in time for the bidding and tendering period.

·       Support the project progress tracking by regularly reporting the planning progress.

·       Secure that all work packs are quality controlled for correctness and completeness before issuing them for bidding and tendering as well as before hand over for execution.

·       Provide technical descriptions of planned work by preparing work orders for bidding and execution in the cutomers maintenance system.

·       Support the development of a realistic execution schedule by reviewing contractor offers.

·       Ensure prepared activities within the discipline are included in the overall project execution schedule.

·       Coordinate services required from other disciplines for executing the scope of work such as, scaffolding, insulation, dismantling tracing cables etc.

·       Main area of responsibility is work orders related to instrument equipment.

2            Execution ( Execution lead , Utförandeansvarig )

·       Ensure that the work progresses safely and according to schedule through continuous coordination with other event leads and, if necessary, redirect work when the workplaces are not available.

·       As the person responsible for the execution, ensure that work is carried out safely and in accordance with the regulations determined by the work permits.

·       Responsible for ensuring that deviations detected by both project and contractors are reported and that the reports are submitted to the intended location.

·       Responsible for ensuring that reconciliation with the execution contractor takes place regarding which work packages have been performed, that these are reported to project controls and that new work packages that have been released for execution are handed over.

·       Responsible for ensuring that work performed is noted on the status reports that can be found on, for example, sheets on the wall.

·       Perform final inspection of the installation and ensure that work packages are handed over to Project QC for final inspection.

·       Responsible for ensuring that work does not stop due to unforeseen events occurring, such as a planned work needing to be changed in order to be carried out or that additional work needs to be ordered to, for example, carry out further repairs, so-called discovery work. This also includes being responsible for ordering change and additional work according to current routine.

·       In cases where change or additional work needs to be ordered, the event lead role is responsible for sending this work to Project planning for preparation and assisting with technical expertise if necessary during preparation. When a new work order for change or additional work has been developed and approved for execution, the event lead role is responsible to hand over to change order team for scheduling together with the scheduler

·       Ensure that contractors who are procured on a recurring basis invoice the correct number of hours by reviewing and signing timesheets.

·       Responsible for ensuring that workplaces are safe by checking that good order prevails at workplaces.

3 Demobilization

·       Responsible for the coordination of restoring workplaces, removing materials and cleaning up.

4            Leadership

• Ensure that contractors work efficiently by directing work tasks and ensuring that challenges that arise are resolved quickly.

• Ensure that contractors use their working time efficiently by supporting them and acting as the team's communication hub.

• Support the team by ensuring that routines and work processes are adhered to, which ensures a quick and safe handover and start-up of the facilities.

• Create a good team spirit by promoting cooperation, commitment and proactivity

Routines

         Report identified opportunities to improve turnaround performance by completing the designated improvementsuggestion form and submitting these according to applicable procedures.
